How do I become a supplier for Colruyt Group?
To work with Colruyt Group, we ask you to meet several conditions. This can include strictly legal requirements such as joining GDSN, but also specific ones in terms of quality and sustainability that together allow us to offer our customers the best.
Have you thoroughly reviewed all the terms and conditions? Then fill out the online application form. In it we ask for some general company information, specifications of your product and your preferences. We also ask you to indicate whether you can meet all supplier requirements now or in the future.
Your data will be processed in accordance with the General Data Protection Regulation (GDPR).* They are used only for the purpose of supplier relations. Based on your profile, a buyer may contact you to discuss a partnership.

Colruyt Group processes your data in accordance with the General Data Protection Regulation (GDPR). This implies that:
- your data are collected and processed only for specified, explicit and legitimate purposes;
- the processing is limited to what is necessary for the intended purpose;
- your information will not be shared with third parties without your consent, unless required by law;
- you have the right to access, correct, transfer or delete your data at any time;
- your data are stored securely and protected from unauthorised access;
- you explicitly consent to the processing of your data via the form.
What are the conditions for becoming a supplier for Colruyt Group?

Colruyt Group needs correct product information for its internal operations, such as creating item numbers and controlling logistics. For the correct processing of product data, we work exclusively with GS1. As a supplier, you can register for the ‘My Product Manager’ van GS1 Belux.
Colruyt Group expects:
- a complete and correct product sheet including label information, logistical data, info for Green score calculations, any certificates …;
- timely publication of data;
- an easily readable and unique bar code at each level of packaging, in accordance with the latest GS1 specifications.

Suppliers must meet the following delivery requirements:
- Deliver complete and timely, according to the agreed date and reference.
- Schedule deliveries at least two working days in advance via the Supply Chain Portal. Without a delivery number (L number), you will not be able to access the site.
- Provide correct EAN barcode and SSCC labels.
- Use approved wooden pool pallets (CHEP, LPR, IPP or EPAL). Double or twin stacking is allowed only by written agreement.
- For food products, limit to one best-before date and one item per pallet. If this is not the case, always mention it and provide a separation.
- Always attach shipping note and EDI message.
- Follow the safety regulations: fluorescent jacket, safety shoes and no mobile phone use.

A correct invoice for Colruyt Lowest Prices, Okay or Bio-Planet includes:
- name, address (no P.O. Box), company number, bank account number, invoice date and number;
- clear item description, quantity, unit price and delivery date;
- correct VAT rate, separate entry for multiple rates, taxable amount and total VAT amount. In case of exemption: reference to VAT legislation;
- our order reference (POF number) and 8-digit supplier number;
- send by e-mail to invoices@colruytgroup.com, as a pdf (one invoice per file, 300 dpi, with no attachments).
- As of January 1st, 2026, Belgian suppliers will be required to issue electronic invoices via Peppol.

Suppliers must meet the following conditions:
- Schedule deliveries at least one business day in advance via our portal. Without a delivery number (L number), you will not be able to access the site.
- Provide two L numbers at a combination of refrigerated and non-refrigerated products. Load the truck so that the refrigerated goods can be unloaded first.
- Deliver ultra-fresh products by 5 a.m. in the morning or the night before.
- Ask permission if you want to deliver with a van.
- Provide the shipping note in duplicate with order reference, quantity, weight and best-before date.
- Provide a correct GS1 barcode and report new barcodes in advance.
- Use approved wooden pool pallets (CHEP, LPR, IPP or EPAL). One reference per pallet.
- Follow the safety regulations: fluorescent jacket, safety shoes, sign in via doorman and wait for text message call.

Among other things, we expect each product to comply with national and European legislation and to have a technical data sheet. The supplier must also have GFSI-accredited food safety certification.

Of course. Colruyt Group has a long tradition of regional products. For example, back in the 1980s we started offering a range of regional beers in our Colruyt Lowest Prices stores. Our Spar stores are also known for highlighting local produce.
As the only remaining Belgian retailer, Colruyt Group makes it a point to offer as many quality Belgian products as possible in all its stores. And we are not only talking about basic products such as vegetables, fruits, meat, potatoes and eggs, but also specific local specialities.

- Everyday is our private label for basic products. They have the lowest price on the market and good quality.

In the application form you can indicate whether you want to offer your product under your own brand or one of our private labels. The buyer in charge will consider your candidacy and discuss opportunities with you.

Colruyt Group does not work with minimum order quantities. Quantities depend on product type, distribution and marketing choices. As a supplier, you always agree the order quantity with the responsible buyer.

Payment terms are agreed upon in accordance with Belgian law.

At Colruyt Group, we continuously optimise our business processes to work together efficiently and sustainably. Electronic Data Interchange (EDI) is part of this. We are convinced that EDI leads to better collaboration with suppliers.
For orders, shipping notes and invoices, we work via EDI. In the retail world, EDI is the standard for exchanging those types of documents.
As a supplier, you have several options. You can format EDI messages via your own system, via an EDI supplier or via a free tool that we at Colruyt Group make available for suppliers.
Important change for Belgian VAT payers: as of 1/1/2026 it is mandatory to create standardised electronic invoices over the open Peppol network. From that date onwards, Colruyt Group and its subsidiaries will no longer accept invoices sent via post, e-mail or EDI. Learn more about Peppol on the FPS Policy & Support website.

The Green score is a convenient label that informs customers of a product's environmental impact in an easy way. We put the label on the packaging of our private label products. As a supplier, it is important to add any useful info (e.g., origin of ingredients or type of packaging) when preparing your standardised product sheet. This allows us to calculate the Green score as accurately as possible.
